European/Middle Eastern Administration Associate - Part Time [Ireland]


 

We currently have a vacancy for a part time European/Middle Eastern Administration Associate.
This position is 3 days per week with option work from home full time, in the
office full time or potentially hybrid.
This is specified purpose contract potentially up to 6 months.

OVERALL REPONSIBILITIES:
Assists financial services department and legal departments,
including external law firms, in assisting with all legal queries.
Responsible for the coding of all accounts on the systems and inputting copies of all relevant documents in Netdocs (cloud based document service) for the legal teams to be able to retrieve for all cases. Obtains all copies of relevant emails and documents from the Financial Services systems including but not limited to NCP, Concord, Fiserve, Universe, Adapt and outlook. Responsible for verbal and written correspondence to and from all involved concerning any queries or issues. Serves as a point of contact with MVCI for all service and document issues.

1. Review incoming cases from legal on a regular basis and ensure all actioned within 2 working days

2. Code accounts on receipt and ensure a Netdoc’s file is in existence

3. Obtain all the relevant documentation required and place on Netdocs

4. Where required, obtain statements from the systems as per counsel’s requests

5. Be the main contact point for legal and associates alike

6. Update all systems in relation to coding, addresses and documents sent
.

INTERFACES WITH:
Must be able to interface positively with all MVCI departments, legal departments, outside counsels and other associates as and when required.

PRIMARY JOB FUNCTION:
1. Be available and answer all inbound emails and calls from legal departments

2. Answer all mail messages on a timely basis.

3. Acknowledge and answer all written correspondence from legal department promptly.

4. Accurately track legal requests and be able to review when additional requests are received and actioned.

5. Utilize and comply with MVCI policies.

6. Exercise good judgment when handling all private information

7. Ensure that the turnaround time of 2 workings days is adhered to

8. Be available to assist other associates with any queries in relation to the cases being dealt with.

9. Ensure all systems are updates and correct notes are inputted on a case-by-case basis

10. Ensure all details are stored safely

11. Work closely with other members of your departments.

12. Any other duties as requested.
